POSITION SUMMARY:

The Advanced Accounts Receivable Specialist II is a key player in maintaining the financial health of the organization. This role is responsible for overseeing the full spectrum of accounts receivable functions, including processing incoming payments, reconciling accounts, handling collections, and resolving billing discrepancies. With a strong focus on accuracy and efficiency, the Specialist will generate financial reports, ensure compliance with company and regulatory standards, and maintain up-to-date customer records. Additionally, this position offers cross-departmental support in order processing, contributes to high-level projects, and ensures smooth administrative operations. RESPONSIBILITIES:
  • Manage accounts receivable, process payments, and ensure accurate and timely transactions.
  • Reconcile the A/R ledger and balance aging accounts to maintain financial accuracy.
  • Resolve billing discrepancies, handle customer inquiries, and address issues.
  • Generate A/R status reports, past-due notices, and customer statements.
  • Process cash applications, finance charges, and ensure adherence to company policies.
  • Crosstrain across departments to support a variety of administrative tasks.
  • Process sales orders, vendor relations, and manage tax-exempt forms.
  • Make collections calls/emails for overdue accounts and escalate unresolved issues.
  • Create, update, and maintain accurate customer records and accounts.
  • Manage mail distribution, assist with clerical tasks, and check-in guests.
  • Maintain office organization, schedule conference rooms, and manage supplies.
  • Assist the Regional Office Manager with high-priority projects.
  • Ensure compliance with company policies, procedures, and processes.

  • Prepare invoices, bank deposits, and monitor tax exemption records through audits.
  • Process and balance monthly leasing payment reports and manage cases for unpaid balances over 60 days.
  • Process and fulfill sales orders, shipments, and invoicing for customers.
  • Prepare and distribute weekly/monthly reports and assist with general office tasks such as photocopying and filing.
  • Perform regular inventory audits of office supplies and marketing materials.
  • Perform other related duties as needed.

QUALIFICATIONS:
  • High school diploma or equivalent
  • Knowledge of accounts receivable process
  • 2+ years’ experience in accounts receivables, accounting, administrative assistant, or equivalent
  • Proven ability to calculate, post, and manage accounting functions
  • Must be skilled in Microsoft Office (Word, Excel, Outlook, etc.)
  • Customer service orientation and negotiation skills
  • High degree of collection knowledge and processes
  • Crossed trained in multiple divisions, dispatch, orders and accounts receivable
  • Excellent communication skills (verbal and written)

SUPERVISORY RESPONSIBILITY:
None

WORKING CONDITIONS AND PHYSICAL EFFORT:
  • This position is in a professional office environment as well as in the field during company attended events
  • Standard office equipment is used – such as computers, phones, multifunctional devices, mail machines, folder inserters, printers, etc.
  • This is primarily a sedentary position
  • This position would require some lifting (up to 50lbs)
  • Filing, bending, standing, reaching with hands/arms, etc. as necessary
  • While performing the duties of this position, the employee is required to speak and hear

TRAVEL:
This position requires little to no travel.
